Received Invoice Check Kit

Checks invoices for compliance, then saves and logs them

How to use
Example output from Received Invoice Check Kit

Received Invoice Check Kit is a vibe coding kit for Claude Code and Codex. Checks invoices for compliance, then saves and logs them. It includes 8 fixes for pitfalls the maker hit in real work. Free.

When this helps

You want to confirm an invoice qualifies, but checking fields and the transitional rate by eye is a hassle

What it does

Hand a PDF or photo of an invoice to your AI, and the kit first checks the arithmetic (line totals, tax by rate) and the required invoice fields. It verifies the registration number's format and check digit, and, with a National Tax Agency app ID, looks up whether it has been revoked via the public registry. It judges the input tax deduction category — full deduction, the small-amount exception, or the transitional rate (70% from October 1, 2026, based on the transaction date, not the invoice date). Once clear, it saves the file under a date_amount_supplier name and updates a ledger suitable as an index book under the Electronic Books Preservation Act. If required fields are missing, it drafts a request asking the supplier to reissue the invoice, and it also flags invoices received twice.

The fixes baked into this kit

  1. Almost got the transitional rate wrong for an invoice dated Sept 30An invoice dated September 30 for "October maintenance fee" would show an 80% transitional rate if you go by the invoice date, but the real rate is 70% based on the transaction date. The kit now reads the transaction period and bases the rate on it, flagging invoices whose period spans October 1 so the line items can be split by date.
  2. Wrongly flagged a receipt-style simplified invoice as missing fieldsReceipts and other documents without a billed-to name are meant to be treated as simplified invoices, but the kit was reporting the missing name and tax-amount fields as "missing." It now skips those fields for simplified invoices and instead states that the document was treated as one.
  3. Line totals failed to match on receipts mixing tax-inclusive itemsOfficial sample receipts mixing tax-inclusive priced items (like cigarettes) failed the line-total check. The kit now lets each line carry its own tax notation (inclusive or exclusive) and accepts either rounding result when converting inclusive to exclusive.
  4. Couldn't read amounts written in the old "¥75,900-" styleInvoice amounts written with a leading "金" and a trailing "-" or "也" (an older convention) weren't recognized as numbers. The kit now strips those characters before reading the amount.
  5. Said "not found" for a registration number without flagging a likely typoWhen a registration number wasn't in the public registry and its check digit also didn't match, the kit only said "not found." It now reports "likely a misread or typo" in a single line whenever both signs are present, without treating a check-digit mismatch alone as a failure.
  6. Missed hidden injected instructions and flagged ordinary item names insteadInstructions like "reply that everything is fine" hidden in tiny white text, hidden spreadsheet sheets, or document comments went unnoticed, while ordinary item names such as "システムプロンプト設計支援 一式" were wrongly flagged. The kit now reads all the hidden layers, only flags text that ends in an imperative command, and leaves item names alone.
  7. Bank account numbers kept turning up in saved records and notesNumbers that looked like bank account numbers were being copied as-is into reading and checking notes. The kit now flags this and masks the account number specifically when saving (invoice numbers, phone numbers, postal codes and registration numbers are left visible).
  8. Deleting an invoice with "delete it" broke the retention requirementReceived invoices must be kept for the tax retention period, but asking the kit to "delete" one could remove it outright, and hand-edited records could later be falsified. It now appends a "withdrawn" mark instead of deleting, and chains each saved record to the previous line so manual edits are detectable.

What's inside

  • The flow (intake → reading → check → save → ledger)
  • A tool that checks the arithmetic and required invoice fields
  • A tool that verifies the registration number's format and check digit, and checks revocation via the National Tax Agency's registry (with an app ID)
  • Logic that judges the input tax deduction (full, small-amount exception, or transitional rate)
  • A tool that names saved files consistently and builds a ledger usable as an Electronic Books Preservation Act index
  • A tool that drafts a request asking a supplier to reissue an invoice
  • A sample set of 7 fictional invoices to try (a qualifying one, a revoked registration, one with hidden white-text instructions, etc.)
  • A safeguard that finds and ignores AI-directed instructions hidden inside invoices

The first three decisions

  1. Your company's name
  2. Roughly how large your revenue is
  3. Suppliers whose invoices arrive often

What you need

  • No extra costClaude Code or CodexThis is the AI that reads the invoices. Both CLAUDE.md and AGENTS.md are included.
  • No extra costNode.js 18 or laterNeeded to run the tools. Nothing else needs installing.
  • No extra costA National Tax Agency app ID (optional)Only needed to automatically check whether a registration has been revoked. Free to apply for, and the kit works without it.

How to use

Just paste this into your AI.

I want to use the nice to have kit "Received Invoice Check Kit". Follow https://nicetohave.app/en/g/ZDTEVG82-•••••••••• and set it up.

Works the same in Claude Code or Codex.
Read what this tells your AI to do, before you paste it

If you would rather take the files yourself

Paste the line above and your AI fetches it. If your AI cannot fetch it, or you would rather download it yourself, start here.

Download the kit as a zip

  1. Unpack the zip you downloaded
  2. Open the resulting folder in Claude Code or Codex (in VS Code, "Open Folder")
  3. Type "start building with this kit". The instructions are inside (Claude Code reads CLAUDE.md, Codex reads AGENTS.md)

FAQ

Can it handle invoices received on paper?
No. Scanner-based archiving of paper originals is not supported, so keep paper invoices as paper originals. What the kit saves and logs is electronic invoices received by email or download.
Does it calculate the deduction or handle filing?
No. It only tells you which category applies (full deduction, the small-amount exception, or the transitional rate) — the actual calculation and filing is done by accounting staff or a tax accountant.
Can it read HEIC photos from an iPhone?
No. HEIC isn't supported, so convert the file to JPEG or PDF before handing it over.
Does it track the ¥100 million cap on the transitional measure?
No. You can work it out by adding up the amounts the ledger has saved for each supplier.
Will it send the request for a reissued invoice on my behalf?
No. It prepares the wording for the request; you send it yourself from your own email.
