Onboarding & Offboarding Checklist Kit

Turns a hire or leave date into a list of tasks and deadlines

How to use
Example output from Onboarding & Offboarding Checklist Kit

Onboarding & Offboarding Checklist Kit is a vibe coding kit for Claude Code and Codex. Turns a hire or leave date into a list of tasks and deadlines. It includes 6 fixes for pitfalls the maker hit in real work. Free.

When this helps

You want onboarding and offboarding handled without missed steps, but deadline rules and counting methods vary.

What it does

Tell it a hire or leave date and it builds the task list and deadlines: handing over documents, social and employment insurance filing deadlines, withholding statements, recovering loaned items, creating and disabling accounts, confidentiality agreements, and payroll cut-off. Deadlines count the day itself as day one and use the earliest valid date, noting the prior business day when it falls on a holiday. When enrollment or age 59+ is unknown, it uses the earlier or required side. It also produces the employee notice and a roster spreadsheet showing everyone's progress. Before handing anything over, it checks for instruction-like text, numbers resembling My Number IDs, health-related notes, and other employees' names leaking into the notice. Filing and delivering documents is up to you — the kit never sends anything out.

The fixes baked into this kit

  1. Employment insurance deregistration's "within 10 days" can slip by a dayCounting the "10 days from the day the fact occurred" as the day insurance coverage ends gives a deadline that's a day too late. The kit counts the day after resignation as day one and uses the earlier date (resign Oct 31 → due Nov 10).
  2. Setting the tax form deadline to "by the hire date" doesn't fitUsing the hire date as the deadline for the dependent tax form can be too early or too late depending on the company's payroll cut-off and pay date. The law actually says "the day before the first payday," which the kit derives from the cut-off and pay date.
  3. The number of months of premiums deducted differs by resignation dateSomeone who resigns on the last day of the month and someone who resigns the day before have different numbers of months of social insurance premiums deducted from their final pay. The kit notes this on the final-pay task for that person.
  4. Disabling the attendance account can shift the resignation dateIn the attendance/payroll system used, disabling an account immediately blocks clock-ins, and if no resignation date is set, the day it was disabled becomes the resignation date. The task now says to enter the resignation date first, then disable the account after the last working day ends.
  5. A notice can end up with just another employee's surname in itText like "the laptop handed over from Mr./Ms. [surname]" can leak another employee's surname into a notice. The kit checks for any match on surname or given name, normalizing width and spacing, and withholds the notice if found.
  6. Entering two people with the same surname can mark the wrong one doneMatching on just "Mr./Ms. Aoki" can hit two people; picking one risks marking the wrong person done or stating the wrong deadline. When a name matches two people, the kit marks nothing and asks for the given name instead.

The first three decisions

  1. Company name and the contact point for inquiries from employees
  2. Payroll cut-off and pay dates (e.g. last day of month, paid on the 25th)
  3. Items to lend and accounts to create (e.g. ID badge, laptop / email)

What you need

  • No extra costNode.js 18 or laterNeeded to run the tools. Nothing else to install.
  • No extra costExcel or NumbersUsed to view the roster spreadsheet (Excel format).
  • No extra costA shared folder only HR can open (if several people use it)There's no login system, so who can see it depends on folder or drive permissions.

How to use

Just paste this into your AI.

I want to use the nice to have kit "Onboarding & Offboarding Checklist Kit". Follow https://nicetohave.app/en/g/2K6BVBHC-•••••••••• and set it up.

Works the same in Claude Code or Codex.
Read what this tells your AI to do, before you paste it

If you would rather take the files yourself

Paste the line above and your AI fetches it. If your AI cannot fetch it, or you would rather download it yourself, start here.

Download the kit as a zip

  1. Unpack the zip you downloaded
  2. Open the resulting folder in Claude Code or Codex (in VS Code, "Open Folder")
  3. Type "start building with this kit". The instructions are inside (Claude Code reads CLAUDE.md, Codex reads AGENTS.md)

FAQ

Can it also file the paperwork or issue certificates?
No. Filling in the actual insurance forms is handled by the Social Insurance Procedures kit, and certificates by the Employment/Resignation Certificate kit. This kit only produces the task list, deadlines, notice and roster.
What happens if I don't know whether someone is enrolled in insurance?
Leave it unknown and the kit uses the side that requires enrollment (the earlier or stricter deadline). Checking whether someone should be enrolled is handled by the Social Insurance Procedures kit.
What happens for deadlines in 2028 or later?
The holiday table only covers up to 2027, so for any 2028-or-later deadline the results page shows a one-time note to double-check against the current holiday list. Work itself is not stopped.
Can I enter My Number IDs or bank account numbers?
Don't. My Number IDs, bank account numbers and health checkup results are never kept in the roster or notice — only a "received"/"done" mark. If something number-like appears in the input, it gets masked and flagged.
Does it handle maternity, childcare or other leave?
No. It only covers hiring and leaving. Maternity leave, childcare leave, unpaid leave, transfers and bereavement procedures are out of scope.
